Information you provide
Details shared through the contact form, WhatsApp, or booking requests.
When you submit the contact form, you provide your name, a description of the issue, and at least an email address or phone number. Service type, urgency, customer type, technical details and a supported attachment are optional. This information is used to reply and help scope the support you need.
Booking requests contain the contact and appointment details you choose to provide and may include optional screenshots or supporting files. Do not upload passwords, recovery keys, private keys or highly sensitive personal information.
The booking form accepts up to three JPG, PNG, WebP, HEIC/HEIF, PDF or plain text files: no more than 8 MB each or 15 MB in total.
A contact-form attachment is sent with the administrator notification through the configured mail service. Booking attachments are instead kept in protected website storage, are not attached to notification emails and can be downloaded only through the authenticated booking administration route.
The forms also process limited technical information, such as timestamps, request headers and IP addresses, to prevent abuse and diagnose delivery failures.
Messages sent through WhatsApp are processed by WhatsApp after you choose that external link and are used to provide support or answer questions.
Analytics and website tools
Tools that help keep the site running smoothly.
If you accept analytics, Google Tag Manager and Microsoft Clarity may be loaded to help understand how pages are used. Declining keeps analytics storage denied and those analytics tools are not deliberately loaded by the site.
You can accept or decline analytics using the banner at the bottom of the page. The Cookie information link in the footer reopens the consent options.
Managed device services
What an authorised persistent support agent may report when a customer chooses monitoring or patching.
The managed-device service is separate from the attended remote-support tool. With the customer’s authority, a management agent remains installed on agreed devices so WITS can provide the selected monitoring, patching and support service.
Depending on the agreed tool and settings, the service may process:
- device name or identifier, operating system, and general hardware and software inventory;
- check-in, health, security, update and patch status, plus configured technical alerts; and
- administrative and audit records needed to secure and operate the service.
This information is used to deliver the agreed service, diagnose technical issues, plan supported updates, protect the management service and keep necessary service records. The service is not offered for employee-productivity monitoring. WITS does not intentionally inspect personal files or message content as part of routine monitoring; any separately authorised support task that requires access is explained and limited to the agreed purpose.
Before an agent is installed, the service schedule will identify the selected product and provider, the data and functions enabled, relevant hosting or international-transfer information, retention and access controls, remote-control or file-access rules, patch and restart arrangements, and the removal route when the service ends. A business customer remains responsible for having authority to enrol each device and for giving its staff or other users any privacy information required for its use of the service.
WITS may act as a controller for its own customer and service records, and as a processor when it handles device information on an organisation customer’s documented instructions. The applicable roles and data-protection terms are confirmed before the service starts. See managed device and ESET options.
Sharing and retention
Limited sharing is needed to operate the website and deliver support.
Your information is not sold. It may be processed by providers used for hosting, form delivery, Microsoft 365 email and calendar functions, optional analytics, WhatsApp when you choose it, and specialist partners when you ask WITS to arrange or refer that work.
Enquiry and booking information, including any supporting files, is kept only as long as needed to respond, deliver support, prevent abuse, and maintain necessary business records.
Booking attachments follow the booking record's access, backup and deletion process. You can ask about the retention or deletion of a particular record or file using the contact details below. Legal, accounting or security requirements may sometimes require a record to be retained for longer.
Your choices
Ask questions or request changes.
If you want to review or update the information you have shared, use the contact page and describe the request. You can also call 07375 053882 or email harrison@williamsitsolutions.co.uk for urgent queries.
